Scope of Work:
Support the Medical Department with all the administrative issues, and in coordination with other departments.
Duties & Responsibilities;
- Collecting the HIS and DHiS2 data in coordination with the ITS Department and analyzing it on monthly basis.
- Accompany head of health department in all the meetings, prepare all the needed documents and papers, and to take the meeting minutes, when requested.
- Planning and preparation of meetings, and conferences which include send invitations, print the materials, coordinate with the logistics for the reservations and collect the training feedback at the end.
- Collect the Health Department needs and arrange with the Logistic Department to be delivered on time.
- Save, archive and manage all the paperwork, files and reports of the department and organize it in a way that facilitates access to it in the future.
- Fill the “Weekly Task Sheet”, circulate it to the team, and to follow up with the team to collect the achievements percentage weekly
- Receive the beneficiaries’ complaints and try to solve it in coordination with the concerned department.
- Provide support within the administrative issues in the PHCCs, based on the head of health department request.
- Ensure that all the health department documents contain reference number, and have the same template
- Collect & analyze the monthly and annual report’s data, in coordination with the M&E Coordinator.
People (Staff Management)
- Manage the data entry team at PHC centers inside Syria, and follow up the monthly inputs under supervision M&E coordinator
- Communicate with the data entry in the PHCCs regarding the HIS and DHiS2.
- Assist and Support all health program coordinators according to needs and under supervision of head of health department
Education, Experience & Training:
· Qualifications: Bachelor Degree in (English Literature, Business Administration).
- Experience: Min 2 years in the administrative positions.
- Languages: Fluent in Arabic & English Training Courses: MS-Office (Excel, Word and PowerPoint), Statistics, data analysis and professional writing skills.
Knowledge, Skills & Abilities Required Ability to work in a team.
· Good follow up skills.
· Good writing skills in Arabic & English. Advanced Computer skills & MS office
